VENDOR GUIDELINES
WHEN: June 5, 2010
WHERE: Halifax County Fairgrounds (Behind South Boston Speedway on Hwy. 360, South Boston VA)
HOURS: 12:00pm (noon) to 10:00pm
3RiverTec presents HaliFair on Saturday, June 5, 2010. Event includes artists, artisans, horticulturalists, concessions, live entertainment, demonstrations and special events throughout the afternoon and evening.
Event hours are 12:00pm (noon) to 10:00pm
Vendor hours are 12:00pm to 7:00pm
Food/concession vendor hours are 12:00pm to 10:00pm
Proceeds from this event will benefit the Halifax County Fair 100th Anniversary, October 5-9, 2010. This is an outdoor, “rain-or-shine” event to be held at the Halifax County Fairgrounds.
VENDOR ELIGIBILITY:
All artists, artisans, horticulturalists, non-profit, retail and food vendors are welcome to apply. The number of available vendor spaces will be limited to create diversity and to provide vendors with a successful market. Vendors must be present at HaliFair.
Hali-Fair reserves the right to deny any application without explanation.
VENDOR CLASSIFICATION:
- Artists/Artisans: (Fee $50) 80% of the items for sale must be handmade by the applying artist. All items displayed for sale must be listed on the application with clear indication of who created them and where, and all items for sale must correspond to application information and photos.
- Non-Profit: (Fee $25) All non-profit organizations are welcome to apply. HaliFair is an apolitical event and educational displays and activities, are encouraged. All items for sale must be listed on the application and all sales must correspond to application information and photos.
- Retail Vendors: (Fee $75) A small number of non-artist vendors will be accepted. All items displayed for sale must be listed on the application with clear indication of who created them and where, and all items for sale must correspond to application information and photos.
- Food Vendors: (Fee $150) Booth space for food vendors is 10’wide by 20’ deep. All food vendors are welcome to apply, but we are especially looking for local vendors and a diversity of quality cuisine. Spaces are limited. All food vendor applications must include: 1) a complete detailed menu with prices, 2) all measurements of booth space needs. Measurements must include footage for the trailer, tongue, tents, canopies, counters, etc., and “certificate of insurance” indicating $1,000,000 liability limit with Halifax County and 3RiverTec, LLC listed as an “additional insured.” Upon acceptance, all food vendors must provide a copy of the paid health fee receipt and each vendor site must include a working fire extinguisher appropriate for the type of fuel used. A listing of fire extinguisher guidelines will be provided upon receipt of application.

- Enclose the appropriate vendor fee (check or Visa. 2% surcharge will be applied to Visa)
- Include all items listed in appropriate “Vendor Classification,” labeled with vendor name. No application will be considered if requested items are not included.
- Food vendors only: Include one photo of food tent, above-stated “certificate of insurance”, and detailed menu with prices.
- Include a self-addressed stamped envelope for response by mail.
- Application fee is non-refundable and must be received by Friday, May 14, 2010.

Breakdown of food/concession booths will not occur before 10:00pm. All breakdown during event hours must be orderly and in accordance with 3RiverTec management.
VENDOR RULES:
- Collecting and reporting of the 5% Virginia Sales Tax is the responsibility of the Vendor.
- NO PETS are allowed on HaliFair event grounds.
- This is a “rain-or-shine” event. Vendors should be prepared for inclement weather.
- Fees are non-refundable.
- Unless otherwise noted, booth space is 10’x10’. Vendors must use only the space they have rented and must
provide their own tables, chairs, tents, shelves, racks, extension cords, etc.
- Exhibit spaces will be assigned by 3RiverTec.
- Demonstrations of work and colorful, creative booths are encouraged.
- Confirmation of booth space will be sent upon receipt of application and paid fee.
